Privacy Policy

Effective October 23, 2026. Strategic Mind runs True Frame Builders ("we", "our") and is responsible for the personal information of its website visitors and customers under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). This policy explains what we collect, why, who sees it, and when we delete it.

Strategic Mind runs True Frame Builders from Ontario. The True Frame Builders contractor who serves your area visits your home, writes your final quote, and does the work. Reach us by phone at (647) 696-9986 or through the contact form at the bottom of this page.

Information you give us. When you price a project, save an estimate, book a home visit, or sign in, we collect what you enter: your name, email address, phone number, street address, city, postal code, preferred visit time, the details of your project, and your estimator answers.

Calls and texts. When you call or text us, or we call or text you, your customer record keeps both phone numbers, the time, how long the call lasted, and each text message with any picture sent in it. Only voicemail is recorded: if nobody answers, a greeting asks you to leave a message after the tone, and our staff can play your voicemail back. Live calls are not recorded.

Information collected automatically. Our website records how it is used:

• Pages visited, the page that sent you to the site, and time spent on each page
• How far you scroll, links you click, and forms you send
• How fast pages load, and errors in pages, scripts, and requests
• Your IP address, and the rough location (down to the city) and network provider it points to
• Your browser, device type, screen size, language, and time zone
• Return visits from the same browser

We use this information to keep your saved estimates, book and prepare for your home visit, send your quote and booking confirmation, follow up with you by email, phone, or text, run and improve our website, learn which of our marketing brings in customers, and find and fix technical problems. When you send a form, we store it with your browser's cookie ID (see Cookies below), which links your earlier and later visits from that browser to your request.

Our website sets one first-party cookie when you visit a page. It holds a random ID, kept for 12 months, that keeps your estimator answers as you move between pages and links the website activity above to one browser across visits. It holds no name or contact details. When you sign in to see your quotes, a second cookie keeps you signed in on that device for 30 days. We use no third-party advertising or analytics cookies.

You can delete or block these cookies in your browser's settings, or use a private window. Your forms still work, and your visits are no longer linked to each other. Our servers still record each page request. Our website has no separate setting to turn this collection off.

We do not sell, rent, or trade your personal information. When you book a home visit or save an estimate, we share your contact details, address, project details, and saved estimates with the True Frame Builders contractor who serves your area, so it can visit, quote, and do the work. Your quote names that contractor. Once you hire it, the contractor is responsible for the personal information it keeps for your job.

We also use outside providers for cloud hosting and storage, email and calendar, phone calls and texts, and notices to staff phones, who must protect your information. These providers store and process it in the United States, where the law can require them to give it to authorities there. We may also disclose your information where the law requires, or to protect the rights and safety of Strategic Mind or others.

We keep personal information only as long as we need it for the purpose we collected it for, then delete it automatically:

• Website activity, including IP addresses and estimator answers: 13 months.
• Messages, bookings, calls, texts, voicemails, and emails: 3 years after the last update.
• Quotes, payment records, and job records: 7 years after the last update, to meet Canada Revenue Agency record-keeping rules.
• Error logs from our servers: 7 days.

Deletion runs within a few days of each date above. Copies of emails and calendar bookings also stay in the email and calendar account that sent them until that account's owner deletes them. To have your information deleted sooner, use the form below or call us at (647) 696-9986.

We protect your personal information with reasonable physical, technical, and organizational safeguards, including encrypted transmission (HTTPS), encrypted storage, and access limited to approved staff accounts. Each sign-in link we email you works once and expires 15 minutes after it is sent. Nothing sent over the internet is completely secure, and we cannot guarantee perfect security.

You may ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to its use, within any legal or contract limits. If you are not happy with our answer, you may file a complaint with the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.

We may update this policy. The effective date at the top of this page is the date of the latest change. If you keep using the website after a change, you accept the updated policy.
